Are you an administrative all-rounder with a sharp eye for detail, a strong sense of structure, and a passion for project support? Then you might be exactly the link we are looking for! In this versatile role, you play a key part in applying for and following up on permits with various authorities, while ensuring smooth and accurate administration across multiple project teams.

As a Project Assistant, you are the central point of contact for everything related to permits and project administration. You effortlessly switch between different files, maintain oversight in a dynamic environment, and communicate smoothly with both internal and external parties.

Your responsibilities

  • Managing and following up on permit files, such as:
    • Work permits
    • Permit applications via the Environmental Permit Portal (Omgevingsloket)
    • As-built / project files
  • Maintaining contacts with:
    • Municipalities
    • Regional authorities
    • Infrabel
    • Waterway authorities
    • Clients and other project partners
  • Supporting project administration across multiple ongoing projects
  • Preparing clear presentations and reports for internal and external stakeholders

What do we expect from you?

We are looking for someone who works accurately and independently, takes responsibility, and is flexible within a team-oriented working environment. You enjoy variety and are able to set priorities effectively in a sometimes fast-paced context.

You also bring:

  • A strong administrative background and solid organizational skills
  • Experience or knowledge of permitting procedures in Flanders
  • Ervaring met GIPOD is een pluspunt
  • Excellent knowledge of MS Office (Word, Excel, PowerPoint), PDF tools, and Office 365
  • Strong communication skills

Language skills:

  • Dutch: very good (oral and written)
  • English: very good (oral and written)
  • Knowledge of French and/or German is an additional asset
